CSFFS 2007 AGM

Dear Member,The Calgary Science Fiction & Fantasy Society (CSFFS) will be holding their Annual General Meeting (AGM) to give the members of the CSFFS the opportunity to come out and receive information regarding the past year, see the plans for 2008, to elect Directors to the Board and vote on proposed Bylaw Amendments.
When: December 2, 2007 – Sunday
Where: The Radisson Hotel Calgary Airport – Selkirk Room (2120 - 16 Avenue NE, Calgary AB)
Time: 12:00 p.m. to 3:00 p.m.
The AGM is not restricted to Members of the Society, anyone who is interested in becoming a part of the Society is welcome and encouraged to attend. However, only those with a 2006-2007 (which expires at the end of this meeting) and 2008 membership will have the right to vote. Society Memberships ($5.00) will be available for purchase prior to the start of the meeting.
There has been an open request for nominations to the Board of Directors since Con-Version 23 (August 2007), and the Board has not yet received any nominations. If there are not enough nominations and/or interest from the Members, the Board will be forced to completely dissolve the Society. Please come out and show your support.
The meeting will be moderated using a simplified version of “Robert’s Rules of Order”. We encourage you to learn about Robert’s Rules if you so desire, but it is not required to attend the meeting. Please note that the primary goal is keep the meeting running smoothly and in an orderly fashion. Also, check out “ www.csffs.org/agmfiles ” for a list of documents pertaining to the Annual General Meeting such as the amendments.
Meeting Agenda Items (to be finalised and provided to the members at the AGM):
- Minutes from the 2006 AGM
- Financial Report from the Treasurer
- Membership Report from the Secretary
- Bylaw Amendments Proposals
o There will be a Yes/No vote on each of the proposed Bylaw Amendments
o Discussion will be limited to clarification of the intent of each proposed amendment
o A No vote refers an amendment to the Bylaws Committee to be re-worked and presented at the next AGM in 2008.

- Business Plan for 2008
- New Business
- Election of New Directors
o We will be electing five directors to fill the offices of: President, Vice President, Secretary, and Treasurer.
We respectfully request that any major questions, issues, concerns or suggestions or additions to the Agenda be submitted in writing or by email to the Secretary of the Society before November 16, 2007.

Progress Report ~ September 2007
September 26th, 2007Con-Version 23 ~ August 17-19, 2007
Many thanks to all attendees for helping to make Con-Version 23 such a wonderful success! It was a blast creating a nice, cozy convention for everyone and work has already begun for next couple of years.
Special thanks go out to the volunteers who tirelessly helped to make things run that much smoother for the Con-Com. And of course, let’s not forget our Con-Com and their dedicate Con-Chair!
Thanks to all of the Dealers who came out to this year’s Dealers’ Room, though smaller than past years, many fans came away from the room with gleeful smiles at their purchases again this year.
Last, but not least, the Guests of Honour; Jack McDevitt, Rebecca Bradley, Brian Hades and our T-Shirt Artist, Richard Bartrop. Though few this year, it made for some especially intimate encounters between guests and attendees, something Con-Version has already strived to maintain in comparison to other mainstream conventions.
From the Dealer’s Room; to the Costumes; the Masquerade Dance; to the Con-Suite and all other events in between, the Society and Committee continue to move the convention forward; For the Fans—By the Fans!
Con-Version 24 in 2008 ~ August
Planning and preparation has already begun. Though the original dates announced were for August 1st-3rd of 2008, the convention will be moving to the 15th-17th in order to reduce the conflicts for attendees, Con-Com’s and Volunteers. We apologise for any inconvenience to the Pre-Registered Attendees! If you have a conflict with this date, please contact registrations for a refund.
Please note that memberships for CV24 are currently available for purchase through the CSFFS store as are Dealers’ Room tables. These are priced at $35 ($40 with Society membership) and $125 respectively. Prices for both will increase as of January 1, 2008 to $40 for a CV 24 membership and $150 for a DR table. Please email morgan.duford@csffs.org if you have any Dealers’ Room related questions.
Con-Version 25 in 2009 ~ August
August 7th—9th 2009 or August 14th—16, 2009
We are currently working on booking CV 25 at the Radisson as well so we can focus more energy on planning the fun stuff. Dates for CV25 will be confirmed at the AGM.
CSFFS & CV on the Internet
Pay close attention in the next few months to www.con-version.org and www.csffs.org as we continue to redesign and update the society and convention presence on the World Wide Web. Alternately, if you have any suggestions on how to improve the sites for surfing, drop us line or join the society Forum at www.csffs.org/forum (which will also be getting an update).
The primary goal is to make the sites work together more efficiently and ease the navigation through the information made available, Thank you for your patience and/or assistance.
2007 AGM ~ December 2nd 2007 ~ Radisson Calgary Airport
This year’s Annual General Meeting will be held at the Radisson Calgary Airport. The Board of Directors are currently negotiating the meeting space, and preparing the agenda for a smooth meeting. Further details on the location will be sent out when finalised.
Current items on the Agenda include:

-Election of the Board of Directors
-Annual Returns Report from the 2006-2007 Treasurer

Election Information
If you would like to nominate someone, or yourself, to the Board of Directors, you must obtain a Nomination Form*, fill it out as completely as possible and mail it in to the Society. The form is available on the back of this page.
It is preferred to receive the nominations prior to the AGM, so that they may be properly added to the Agenda. However, nominations will be accepted at the AGM until the designated time on the Agenda. This is to ensure that the Ballots can be prepared for the voting process.
*The PDF format of this PR is attached, and it includes the Nomination Form.
Bylaw Committee
If you are interested in getting involved with the committee working on the amendments of the current bylaws, please contact the Society Secretary. Space is limited for this committee, as too many could make the work longer and more tedious than it needs to be! We are looking at simple modifications and improvements of the bylaws, not a complete reworking. Also, if you have some recommendations but do not wish to participate on the committee itself, please feel free to send your recommendations to the Society Secretary to be passed on the Bylaw Committee.

I need to know who is attending the next concom meeting, Wednesday, August 1, at 7:00 at the Midtown Market Co-op. Please e-mail me at kirstin.morrell at this domain name (csffs.org). Or post to the forums at http://www.csffs.org/forum/ if you have any problems.
Those of you who do not need to attend have already been notified.
If you don’t RSVP, you may show up to discover no one is there, as I’m thinking of changing the location this time, depending on who is coming.
Also, the next meeting, the final meeting before the convention, is on Saturday, August 11, 6:00 p.m., also at the Midtown Market Co-op, 1130 - 11 Avenue SW. I need you all there for this one.

ConCom Meeting June 17, 2007
June 15th, 2007We are currently having another ConCom meeting on June 17 at 2 pm at the Midtown Market Co-op (1130 - 11 Ave. SW). Anyone would would like to attend is perfectly welcome. We realize that this may be a conflict with certain Father’s Day festivities. If you would like to attend but can’t, please let Kirstin know right away. If there are too many conflicts, we’ll move the meeting.

Forum database malfunction
June 13th, 2007Hello, everyone. The database our forum uses is currently malfunctioning, but we are working very hard right now to get it back up as soon as possible. Thank you for your patience.
